Services / AI for Recruitment Agencies

AI automation for recruitment agencies, with your team in control.

For UK agency owners who want less repetitive administration around their existing ATS, start with one handoff: job brief preparation, enquiry routing or an internal status summary.

Before commissioning an AI agent or replacing software, check whether an existing ATS feature, a straightforward integration or a small AI-assisted workflow is the best fit. We help define the task, permitted data and human review, then agree a bounded first step. This service covers administration; candidate selection and hiring decisions remain with your team.

    If this sounds like you

    Who is this for?

A UK recruitment agency owner or operations lead evaluating one repeated administrative workflow around an existing ATS.

    How fast?

The first enquiry checks the task and access dependencies. A scoped review and pilot delivery window are agreed before work begins.

    What will it cost?

A written price for the agreed first step, with provider, ATS-access and support costs identified separately. No new subscription is assumed.

    What result should I expect?

An evidenced build, buy or no-build decision, followed by a human-reviewed pilot only when the scope is justified.

Automated hiring decisions, guaranteed savings, unrestricted candidate-data access or an agent that sends messages and changes records without review.

    The problem we hear

Where does an approved piece of information get copied, rewritten or chased between your ATS and the next person?

    Consultants repeat the same preparation

Turning approved vacancy notes into a job brief or preparing a handover can involve several copies and checks. Start by recording that effort and the corrections required, rather than assuming AI will save time.

    The next action is unclear

A client enquiry, missing document or status change can sit between inboxes and the ATS. A useful first workflow needs a named owner, an agreed destination and a visible exception queue.

A convincing demo hides access limits

Supplier APIs, licence terms and field permissions determine what can be read or updated. An attractive prototype is not evidence that a production integration is available or affordable.

More automation can mean more checking

An inaccurate summary or invented job requirement creates extra review work. The decision must include output quality, consultant effort, exceptions and ongoing costs, not just how quickly text appears.

    How we approach it

    01

    Choose one administrative handoff

Map its trigger, source records, person responsible and current result. Record task volume, handling time, corrections and delays over an agreed sample. Use redacted examples for the initial discussion.

    02

Check access and build, buy or do neither

Confirm your exact ATS edition, supported API or export, supplier permissions and any extra charges. Compare an existing feature, a deterministic integration, an AI-assisted pilot and a process-only change. Recommend no build where the evidence does not justify one.

    03

Agree the pilot before work starts

Define one input and output, permitted fields, reviewer, acceptance checks, failure handling and a cost ceiling. Agree a written scope, delivery window and price before work begins; no supplier upgrade or wider rollout is assumed.

    04

    Test, compare and decide

Test with approved data and require human acceptance before a live record change or external message. Compare the result with the baseline, including checking time and exceptions. Decide whether to continue, revise or stop, with an accountable operator and recovery route.

    What good looks like

A documented decision on an existing feature, an integration, an AI pilot or no build.

A checked ATS access route with supplier dependencies and charges identified.

A field-level data boundary and an explicit human approval point.

A baseline and acceptance criteria for quality, effort, exceptions and operating cost.

A scoped next step with a price agreed before implementation begins.

What the first workflow must account for

    Your existing ATS

Keeping your ATS is an option. Integration eligibility depends on the exact product, edition, supported access and supplier terms; it is checked before a delivery commitment.

    Minimal data access

Agree which records and fields are necessary, who may view them, the approved provider, retention and deletion. Candidate CVs, sensitive information and full mailbox access are not default inputs.

    Human review and traceability

Show source material beside the draft where practical, record approval and send missing or conflicting information to a person. An AI output must not invent job requirements or silently overwrite a record.

    A measurable operating decision

Include usage charges, supplier fees, review effort and support ownership in the comparison. Set a stop condition when quality, access or cost makes the proposed workflow unsuitable.

    Illustrative workflow scopes

Illustrative scope: vacancy notes to a draft brief

Illustrative scope, not a completed client case study.

If approved client notes are already available, a pilot could prepare a structured job brief for a consultant to compare with the source. Missing pay, location or requirements would be flagged, not invented. Nothing would be published or sent without approval; preparation and checking effort would be measured together.

Illustrative scope: an internal status handover

Illustrative scope, not a completed client case study.

If the ATS permits access to the required records, a pilot could prepare an internal summary of outstanding administrative actions for the responsible consultant. It would exclude suitability scoring and hiring recommendations, link back to source records and leave uncertain actions for human review.

These examples explain possible scopes. Suitability and results would be established through assessment and testing.

    Frequently asked questions

Do we need to replace our ATS or buy Omni ATS?

No. This service starts with the systems you already use. Digitalised Solutions also offers Omni ATS, but buying it is not a condition of this work and this page does not claim that it contains the illustrative AI workflows. An ATS replacement is a separate buying decision.

Can you connect to our particular ATS?

We first check the exact supplier, edition, supported API or export, permissions, rate limits and licence terms. Some suppliers charge for access or restrict writes. If a supported route is unavailable, we explain the limitation rather than promise an integration or bypass supplier controls.

Will AI screen candidates or decide who gets a job?

That is outside this service. The proposed starting workflows concern administration, with named human reviewers. Automated suitability scoring, candidate ranking, rejection and hiring decisions are not included in this initial scope.

What happens to candidate and client information?

Bring redacted examples to the first discussion. Before a live pilot, agree the necessary fields, lawful access, provider handling, retention, roles and any required data-protection review. We do not assume permission to copy all candidate records, train a model on them or expose them to a public chatbot.

How much does the first step cost?

There is no one-size-fits-all AI assessment price. The initial enquiry identifies one workflow and the access checks needed. We then agree the deliverables, delivery window and price in writing before chargeable work starts. Implementation, supplier charges and ongoing support are identified separately.

How do we know whether the workflow is worth doing?

Record the current volume, handling time, corrections and delays, then compare a controlled pilot using the same criteria. Include human review and running costs. No time saving or return is guaranteed; keeping the existing process or using a standard ATS feature may be the right result.

What should I bring to the first conversation?

Your ATS name and edition, the single task you want to improve, an estimate of its frequency, who checks it today and a redacted example. Tell us about existing supplier access and any deadline. Do not send candidate CVs or sensitive records with the enquiry.

Which recruitment admin handoff should we examine first?

Tell us your ATS, the repeated task, its approximate volume and who reviews the result today. We will use the intro conversation to check fit and define a scoped next step with you. Use redacted examples; keep candidate and client records out of the enquiry.
